10 – 20 hours saved weekly

for divisional leadership through remote visibility and issue resolution.

3x quicker payroll process

with automated and cleansed’ finance data.

One standardised system

for all divisions, trades, and job types.

Real-time QSHE oversight

across all three operational divisions.

Summary

Jointline’s growth was being held back by inconsistent processes, limited visibility, and manual workflows that simply couldn’t scale. By standardising their foundations with Re‑flow, Jointline unlocked real-time oversight, stronger QSHE control, and a digital infrastructure with no cap on how fast, or how far, they can scale.

With Re‑flow in place, we now have a really simple, quick digital system with no cap on how much we can scale up.

The challenge

As Jointline expanded, their manual processes created natural limits. Each division had its own way of working, from RAMS distribution to daily worksheets, approvals and timesheets. Controlled documents were being saved locally, versions drifted, and reporting varied depending on the team or the site. Julie Davidson, Jointline’s Head of Business Assurance put it plainly:

Because we have three operational divisions… sometimes our systems were a little bit disjointed.”

This inconsistency made it harder to maintain a clear audit trail, track working time, understand waiting hours, or get accurate data into Finance and QSHE. It also reduced flexibility – staff moving between divisions often had to adjust to different processes, slowing productivity.

Most importantly, leadership visibility was restricted. Without real-time data, managers often needed to physically attend sites to resolve issues, costing time and delaying decisions.

Jointline needed one system, one process, and one version of the truth – something strong enough to support the business today and scalable enough to meet future demand.

The solution

1. Standardised operational control
  • Uniform workflows across all divisions
  • Standardised RAMS, COSHH, and controlled documents
  • Automated blockers ensuring compliance
  • Consistent daily worksheets (DWS) and timesheet processes
2. Real-time site visibility
  • Instant reporting with photos, notes, and job context
  • Hazard, incident, and positive observation submissions
  • Working Time Directive data
  • Waiting time, travel time, and productivity tracking
3. Centralised data for leadership and back office
  • Finance-ready time, approvals, and job data
  • Vehicle usage, hours-per-job, and WTD reporting
  • Qualification search for safe resourcing
  • Clean audit trails across QSHE and operations.
It just gives us that flexibility as a business… and makes productivity gains for us.

The results

Standardisation that unlocked flexibility and consistency

Jointline now run one unified way of working across all divisions. Templates, workflows, and documents look and operate the same wherever staff are deployed.

Real-time visibility for leadership

Managers no longer lose hours travelling to site. Issues reported through Re‑flow arrive instantly with photos, notes, and context.

Operational leaders now
save 10 – 20 hours per week

previously lost travelling to site.

Stronger QSHE oversight

Re‑flow centralised all QSHE data, driving a shift towards proactive safety.

Hazards, incidents, and positives are now visible immediately to senior leaders, breaking down silos between divisions and enabling faster guidance and action.

We have cleaner audit trails and, from a compliance point of view, it’s been excellent.

A foundation built on scale

The biggest impact? Re‑flow removed the ceiling created by manual processes. As they grow, processes remain robust, audit trails remain accurate, and QSHE remains controlled.

A faster, cleaner finance function

Standardised, automated data has transformed finance workflows:

On average, Re‑flow is saving me around a day per week… it’s sanitised the data for me.

This results in a 3x quicker payroll process, reduced chasing, and smoother governance.

The outcome

Re-flow has become a core part of Jointline’s growth, strengthening both QSHE and operational performance. With a purpose‑built platform, the team now runs on uniform processes, instant visibility, and reliable data – and the system will continue to scale with them as their operations evolve.

There’s other systems out there, but the systems I’ve used before aren’t as flexible as Re-flow. It gives you so many options of things you can do to manage the business in its entirety, really through that single app, and it’s advancing all the time.
