Organisation details

The Lamorna Group began as a sole tradership in 1997 in West Cornwall, initially focusing on landscaping and groundworks. Over the years, the company has expanded significantly, going from three employees to 75, and now includes three separate businesses:

  • CGS Contractors Southwest Limited
  • Celtic Turf Limited
  • Iktin Solutions Limited

The group offers a wide range of services, including landscaping, utility engineering, civil engineering, groundworks, and turf supply. Operating throughout Cornwall and parts of Devon, the company currently has four Re-flow admin users and twenty Re-flow app users.

Challenges

Before adopting Re-flow, Lamorna faced several challenges:

  • Inefficient communication through WhatsApp and emails
  • Operatives needing to visit the office daily to drop off paperwork
  • A lack of detailed data and unified information
  • Time-consuming admin processes
  • Difficulty in finding a suitable software solution that met their specific needs

The old workflow felt unoptimised: there was a sense of wasted resources and inadequate data detail. Despite concerns that employees might struggle with the digital switch, Lamorna embarked on a journey to find a suitable software solution.

The business had grown into a much larger company,’ Lamorna said. And it required a common data environment, so we could easily manage our contracts. We wanted a software system that captured all the information needed to meet the business’ growth requirements.

We also tried several other field management pieces of software over the course of the previous four years, but they had limited capabilities. They couldn’t capture all elements of the group’s scope of work due to the variety of jobs within the business.’

Aims

The aim of the Lamorna Group was to enhance operational efficiency by moving away from their outdated methods such as WhatsApp, emails, and paper-based workflows. They also sought a comprehensive software solution that could unify their data, streamline processes, and support their rapid growth. Specific goals included:

  • Unifying information and organising growing numbers of contracts
  • Streamlining job management, asset tracking, and health and safety logging
  • Providing real-time job sign-offs and improving compliance with health and safety regulations

Solutions

Re-flow provided an integrated system that met all the requirements, including:

  • A user-friendly dashboard for easy management and reporting
  • Customisable forms for various workflows
  • Real-time updates and offline functionality
  • QR code-based asset management
  • Comprehensive job management and health and safety tracking

Results

Since implementing Re-flow, Lamorna has seen significant improvements:

  • Streamlined workflows and reduced admin time: Lamorna estimates saving 30 minutes to an hour each day in relaying information to onsite operatives. Admin processes that used to be longwinded now breeze by efficiently.
  • Enhanced data tracking and reporting: the ability to pull detailed reports and pass them on to senior leadership and clients has been a major benefit. Real-time job sign-offs with images for invoices, and comprehensive health and safety logging, have boosted operational transparency.
  • Improved asset management: QR code-based asset management allows supervisors to keep an overview of all equipment. The system enables easy tracking of equipment details, including make, model, and serial number, along with a clear history of usage.
  • Better compliance and client communication: the cloud-based forms provide the evidence needed to capture and relay information to clients. Lamorna can now offer clients real-time feedback on worker timings, completed forms, and work completion photos, which has been instrumental in competing for larger contracts.

The level of support since the initial enquiry has made us feel that the right choice has been made,’ Lamorna said. Especially with the complex nature of rolling out Re-flow over three businesses rather than one.

The form building process and the ability to adapt standard forms into bespoke forms has been a huge benefit to the company. This covers the variety in our work and has allowed for amendments depending on the needs of each new form.

The system has also allowed for job information to be shared in one place rather than over a variety of different methods.’

Lamorna described the benefits of using Re-flow when interacting with their clients. Re-flow is integral to the business growth and offers a competitive advantage,’ they told us. Clients are continuously asking for more real time information feedback from our onsite operatives, including times onsite and offsite, forms, and completion photos. We’ve been able to deliver all this information. Re-flow is certainly going to be a factor in competing for larger contracts in the future.

Re-flow is the best software we’ve found for data capturing and job management. It is different to the other software on the market. It has a larger database that can capture all the relevant information we need.

I would recommend Re-flow to any business looking to grow and be competitive in the construction and utilities industry. I believe Re-flow is a ready-made platform which can be adopted by any business. It’s tailor-made to suit their needs.
