Organisation details

Roadgrip operate on an international scale as specialists in road marking, line painting, rubber removal, floor coatings, anti-skip, grooving, and surfacing.

They’re a family business with a head office in Bedfordshire and have a reputation for delivering fast, competitive, and professional marking and surfacing services for international motorsports, airport runway grooving, highway retexturing, and more.

They have a permanent staff of 41 employees and too much plant to count’.

Challenges

As a large-scale business, they had parts of their workflow they wanted to improve:

  • Slow manual processes causing bottlenecks
  • Rescheduling jobs being a pain
  • Paper-heavy admin
  • Paperwork getting lost in vans
  • Inaccurate record keeping
  • Having no centralised system to manage the company workflow and store data

Roadgrip used to build their job packs manually and had to chase up forms and updates from site via calls and emails. When their operatives worked abroad or in areas of poor signal, this was often a frustrating and time-consuming process.

As Roadgrip grew, manual processes became increasingly unsustainable with such a small team and such a high volume of work. Now Re-flow allows us to become easily scalable, to adapt to changing business needs, and to accommodate increased workloads without compromising efficiency, quality, or safety.

Aims

Roadgrip wanted to level-up their operations. They wanted to improve company culture, cut out manual processes, streamline their company workflow, and free up more time for their staff to focus on critical tasks.

They needed to find field management software capable of covering all their forms and documents:

  • RPE checks
  • Toolbox talks
  • Signoffs
  • POWRAs (point of work risk assessment)
  • Shift briefs
  • Vehicle checks
  • Plant checks
  • Mezzanine inspections

They wanted to eliminate chasing up operatives for job updates and task completion, and to generally boost their productivity in a way that was scalable to their growing and evolving needs. They wanted more data, and better enforced compliance.

The size of their business meant that not only did they need a powerful and comprehensive software, but the right solution would also have to include the kind of support team capable of managing Roadgrip’s digital transformation.

Solutions

Re-flow Field Management was the software solution capable of addressing Roadgrip’s needs:

  • Re-flow’s dashboard is easy to use and allows companies to filter data and create reports tailored specifically to their needs.
  • The software automatically creates data trails throughout the job process, from quoting to billing.
  • Re-organising jobs on the Re-flow scheduler is a simple case of dragging and dropping. Notifications and automations trigger if there are any clashes, or if any criteria such as incorrect qualifications or unavailability due to holiday is present.
  • Re-flow acts as a central hub for all company communication and works both online and offline by seamlessly updating with the dashboard once a connection is re-established.
  • Re-flow’s onboarding and support teams are specialists in helping companies get the most out of their digital transformations, whether that’s analysing existing processes, forms, and other necessities and creating these in Re-flow, or finding new ways to boost efficiencies.

  • Communication in one place: Much better and faster communication has improved company culture to the point where the Roadgrip team are coming up with more innovative solutions to problems and making better decisions.
  • Asset management: Roadgrip receive instant feedback on defective plant and vehicles, which are quickly sent through to workshop and fleet.
  • Real-time job visibility: Re-flow provides real-time visibility into the status of jobs.
  • Accountability and efficiency: Better data and total visibility encourages operatives and other staff to be more accountable. It’s also easier to identify bottlenecks and areas for improvement in order to optimise workflows.
  • Forms and documents: Re-flow has digitised Roadgrip’s forms and incorporated the ability to pack all relevant talks and information into the documentation sent to operatives.

Re-flow Field Management software has made the business more efficient, freeing up plenty of extra available time as a result. And with more available time, knowledge sharing, and idea generation is now at the forefront of our operation,’ Devon Clarke, Roadgrip’s SHEQ manager, told us.

Re-flow has streamlined our processes, automated repetitive tasks, and reduced manual errors. This allows our employees to focus on higher-value activities, which has increased productivity and output,’ Devon said.

As Roadgrip grew, manual processes became increasingly unsustainable with such a small team and such a high volume of work. Now Re-flow allows us to become easily scalable, to adapt to changing business needs, and to accommodate increased workloads without compromising efficiency, quality, or safety.

What’s more, Re-flow generates data at every stage of the process, providing valuable insights into performance, trends, and customer behaviour. By analysing this data, we can make informed, strategic decisions to drive continued growth.

Devon also said that Re-flow gave them faster response times and improved service delivery, which has enhanced the overall customer experience.

And how about that very necessary support team?

The support team are great and there is nothing they won’t do to help you through any issues or to help create new tools that you might need,’ Devon said.

Would Devon recommend Re-flow? She says yes. Re-flow is a fantastic system not only for those in the highways sector but for construction, civil engineering, maintenance, and warehousing. The functions and features within Re-flow are user friendly and comprehensive, but also dynamic enough that you can have the software do what you need it to do. We wouldn’t have the streamlined operations we have now without Re-flow – and the team are fantastic.

Re-flow understand the highways sector. We thank them for all their guidance and support. It’s been great working with them.’
